- Operating labor
- $1,920
- Tools replaced

The calculator
Use this formula: 12-month software fees + migration cost + integration fees + setup time + monthly operating time − tools genuinely replaced. Use the minimum plan that supports the required workflow at the expected contact count.
- Software: monthly or annual price at the expected list size
- Migration: data cleanup, templates, forms, domains, and testing
- Integration: connectors, payment tools, webinar tools, or CRM sync
- Labor: setup hours and recurring operating hours at a realistic internal rate
- Savings: only subscriptions and work that will actually disappear
Add the growth step
Estimate the number of qualified leads the funnel must generate or support. Divide the 12-month total by that number to create a required cost per qualified lead. This is a planning threshold, not a promise that the software will produce the result.
Compare three operating models
Model a creator-focused setup with Kit, a campaign-and-funnel setup with GetResponse, and a CRM-led setup with HubSpot. Use current provider pricing and identical assumptions for contacts, time, and lead volume.
Stress-test the choice
Run the model again at half the expected lead volume and twice the migration time. If the platform is only affordable under the most optimistic case, begin with a smaller system or postpone the migration.
Record the reason for upgrading
Before buying a higher plan, write down the blocked workflow, its current monthly cost, the feature that removes it, and the metric you will review after 30 days. This keeps feature curiosity from becoming permanent software spend.
